Position Overview
You'll be the operational backbone of a fast-growing aerospace startup's Bangalore office, managing everything from daily operations to executive support. This role offers direct exposure to a venture-backed company scaling spacecraft component manufacturing. You'll work closely with leadership across US and India operations while building systems that support the company's mission to revolutionize space component supply chains.
Role & Responsibilities
- Keep the office organized, clean, and fully stocked with supplies, snacks, and essentials
- Oversee office maintenance, including vendor management for cleaning, repairs, and hard services
- Ensure security, safety, and compliance with local regulations, including creating and maintaining employee badging
- Manage reception and handle incoming mail, visitor access, and special guest arrangements
- Handle office insurance, IT support, and emergency protocols
- Foster a welcoming and vibrant office environment
- Plan and organize team events, board meetings, and guest visits to enhance engagement
- Track and coordinate key office data including travel, shipping, and miscellaneous expenses
- Collect and review employee reimbursements and other compliance documentation
- Maintain accurate records, reports, and databases as needed
- Implement office policies and procedures in discussion with executives
- Arrange candidate interviews, customer meeting schedules, and other online bookings
- Support the executive team with admin and coordination tasks
- Assist in travel planning, make bookings, help plan events, and ensure smooth execution
- Create, collect, review, and edit invoices, purchase orders, sales agreements, NDAs, and vendor agreements
- Manage vendor relationships and scout new vendors to identify the best options
Must Have Criteria
- 5+ years of office management and administrative experience, preferably in a startup
- Low-ego, positive, can-do attitude with a hands-on approach
- Strong organizational and time management skills with ability to keep things in order
- Exceptional attention to detail where nothing gets past you
- Self-starter with ability to multitask and juggle competing priorities effortlessly
- Good knowledge of MS Office including Outlook, Word, MS Teams, PowerPoint, and Excel
- Ability to rapidly learn new skills
- Experience working in a technology company or startup
- Availability for full-time, in-office position with extended hours: Monday to Friday 8:30 AM to 7:30 PM
- Flexibility for Saturday work as required
- Willingness to travel up to 10% within and outside Bangalore, sometimes on short notice
- Ability to attend meetings in US timezone as needed
